Terms & Conditions

These Terms & Conditions govern all hire services supplied by Bisou Vintage Hire (“Bisou”, “we”, “us”, “our”) to the person or organisation making a booking (“you”, “the client”).

By approving a quote, paying any amount towards a booking, or otherwise proceeding with a hire, you confirm that you have read these Terms & Conditions and agree to be bound by them.

1. Bookings & Confirmation

1.1 No booking is considered confirmed until we have received a deposit equal to 50% of the total hire fee.

1.2 Until the deposit is paid, neither your event date nor any hire items are held or reserved for you.

1.3 Bisou may, at its discretion, decline or withdraw any booking for which a deposit has not been received.

2. Deposit & Payment

2.1 A non-refundable deposit of 50% of the hire fee is payable at the time of booking to secure your event date.

2.2 The remaining balance is due no later than 14 days before the event date. We will issue an invoice for the balance ahead of that date.

2.3 Should the balance remain unpaid past its due date, we cannot guarantee delivery or supply of the hire items, and the booking may be cancelled at our discretion.

2.4 Unless stated otherwise, all pricing is subject to GST.

3. Non-Refundable Deposit

3.1 Under no circumstances is the deposit refundable. This includes, without limitation, cancellation, postponement, a change of mind, adverse weather, or events outside anyone's control.

3.2 The deposit compensates us for administration, preparation work, and holding the hire items exclusively for your event.

4. Changes to Your Order

4.1 Requests to alter hire items or quantities should be made as far ahead of the event as possible.

4.2 Because items are set aside specifically for your event once a quote is approved, reducing quantities after that point will not necessarily reduce the total hire fee.

4.3 Every requested change remains subject to item availability and our approval.

5. Damage, Loss & Client Responsibility

5.1 Ownership of all hire items remains with Bisou Vintage Hire at all times.

5.2 From the moment of delivery until the items are collected, responsibility for them rests entirely with the client.

5.3 Charges for repair or replacement will apply where items are lost, damaged, broken, or returned in a condition requiring more than standard cleaning.

5.4 Any repair or replacement charges will be assessed after pack-down, invoiced separately, and are payable within 14 days of the invoice date.

5.5 The client remains liable for damage regardless of who or what caused it — including guests, venue personnel, weather, or improper use.

6. Hire Period, Delivery, Setup & Venue Logistics

Hire Period

6.1 The standard hire period is 48 hours, measured from the time of delivery to the time of collection.

6.2 Additional days are charged at 20% of the item hire fee per day. A three-day hire is therefore charged at 120% of the standard fee, a four-day hire at 140%, and so on.

6.3 Where venue access conditions require a longer hire window — for example a bump-in the day before and a bump-out the day after the event — the additional days will be charged accordingly and itemised in your quote.

Delivery, Pickup & Minimum Hire

6.4 Delivery and pickup charges reflect the distance between our warehouse and your event location, travel time, and how long our vehicle and driver are engaged.

6.5 A variable fuel levy applies to every booking, calculated on travel distance and fuel prices current at the time of the event. This levy is charged separately from the delivery and pickup fee, applies no matter when the quote was accepted, and will be confirmed and invoiced before delivery.

6.6 Depending on how far your event is from us, a minimum hire spend may apply, since delivery and collection tie up a vehicle and driver for the duration of the hire.

6.7 Your quote will clearly itemise delivery, pickup, hire period, and any minimum hire charges. Approving the quote constitutes acceptance of those charges.

Setup & Pack-Down

6.8 Setup and pack-down are not included in delivery and pickup fees. If you require either service, it must be organised before the event date.

6.9 An additional charge may apply for setup and/or pack-down, depending on the volume of furniture hired, the type and weight of the pieces, the complexity of the arrangement, and venue access conditions or time constraints.

6.10 Setup requested close to the event date is subject to availability and may attract further charges.

Access, Stairs & Distance Limitations

6.11 Because of the size and weight of our furniture, we do not carry out setups that involve stairs — whether at venues, private homes, parks, or public spaces.

6.12 You must tell us before your booking is confirmed if your event location involves any of the following: a long carry from the drop-off point; stairs, ramps, lifts, or uneven ground; or restricted or difficult access.

6.13 If access limitations are not disclosed in advance, we may either apply an additional surcharge (subject to staff being available) or decline to perform setup on the day on safety grounds.

Venue, Park & Logistics Requirements

6.14 For deliveries to venues or public parks, the client must supply complete logistical details no later than 7 days before the event, including: venue access instructions; bump-in and bump-out times; any delivery or pickup restrictions; and any permits or approvals required.

6.15 You must also inform us of parking or loading bay arrangements, including any height, time, or access limits affecting our delivery vehicles.

6.16 If the required logistical details have not been provided at least 7 days before the event, we reserve the right to cancel the booking without refund on the basis of insufficient planning time.

6.17 Extra charges may apply — or delivery/setup may not be able to be completed — where delays arise from unavailable parking, restricted access, or missing information.

7. DIY Hire

7.1 DIY hire is governed by a separate set of DIY Terms & Conditions, supplied at the time of booking.

7.2 Choosing the DIY option means you agree to meet every additional requirement set out in the DIY hire agreement.

8. Cancellation by the Client

8.1 If you cancel your booking for any reason, the deposit is forfeited, and we may also retain further payments to cover costs already incurred.

8.2 Where cancellation occurs within 14 days of the event date, all monies paid may be forfeited.

9. Cancellation by Bisou

9.1 If, due to unforeseen circumstances, we are unable to fulfil your booking, we will either refund all payments made (deposit included) in full, or — by mutual agreement — offer an alternative date or comparable solution.

10. Force Majeure

10.1 We accept no liability for failure to perform caused by circumstances beyond our reasonable control, including severe weather, natural disaster, government directives, or emergency situations.

10.2 The deposit remains non-refundable in these circumstances.

11. Liability

11.1 To the maximum extent the law allows, Bisou Vintage Hire is not liable for any indirect or consequential loss.

11.2 Our total liability under any booking is capped at the hire fee actually paid.

12. Governing Law

12.1 These Terms & Conditions are governed by the laws of Western Australia, and any dispute will fall under the jurisdiction of the courts of Western Australia.

13. Acceptance

By approving a quote and/or making any payment, the client accepts these Terms & Conditions in their entirety.
